Adding Fees: Guidelines and Procedures

Fees and Taxes Information:

Affiliates must comply with all state, city, and county tax laws. Each fee type and amount must be individually listed in the 'Fees and Taxes' section. Any additional fees should be disclosed in the item description. Fees can be assigned or modified at any stage of an auction. Fees assigned before an auction closes will be included in the winning bidder's invoice. If fees are changed or added after an auction closes, the invoice will be regenerated to reflect these changes.

The 'Fees and Taxes' section can denote:

  • Vehicle Fees (DMV)
  • Required Removal/Rigging Charges
  • Shipping & Handling Fees
  • NICS Charges (Firearms)
  • Other Required Fees

Important Notices:

  • The Sales Tax Report only shows sales taxes collected on the bid price and the buyer's premium. Sales taxes added in the fees section will not be included in the Sales Tax Report.
  • Fees assigned to an item are visible to everyone viewing the item and remain part of the listing after the auction closes.
  • Invoice fee changes or additions must be made prior to invoice processing to ensure the Close Report accurately reflects the amount collected.

Removing Sales Tax From an Item Description:

To remove sales tax, simply uncheck the 'Is Taxable' box. Once invoices have been generated, select the bidder's invoice, navigate to the tax tab, and set it to tax-exempt.

Adding Fees to a Lot:

Fees are added at the item level and cannot be imported from a spreadsheet. Follow these steps to add fees:

  1. Select the item to which you wish to add fees from the lot list.
  2. Scroll down to the bottom of the page to the Lot Fees section.
  3. Select 'Add Fee' and enter any applicable fees or taxes separately. Each fee should have a separate line item. After a fee has been saved once, it will be available for future use via the drop-down menu.
  4. Use the Flat/% drop-down to determine if the fee is based on a fixed value or a percentage (e.g., sales tax). The Pay To drop-down should indicate who is collecting the fee.
  5. After adding and verifying the fees, select 'Save' at the bottom right-hand corner of the page.
  6. Verify that the fees are correct by previewing the item listing.
  7. You can also add fees in bulk using the Bulk Edit options within the Lot List.
